Step 1: First things first, let’s get to know each other. We’ll start with a 15 minute, obligation free phone call to chat about what you have in mind for the trip and to ensure I’ll be the right PTM for you.
Step 2: If you’re happy to proceed, I’ll ask each traveller to complete a short Client Profile Form. At this stage, you’ll also pay your itinerary planning deposit (may vary depending on your holiday plans), which covers my time and expertise in curating your customised travel plan.
Step 3: Once the planning deposit is paid, we’ll schedule a detailed consult – either in person (coffee, anyone?) or via phone – to dive deeper into your preferences, must-haves, and ideal travel experience.
Step 4: This is where the magic happens! I’ll begin researching, creating, and refining your personalised itinerary – from flights and hotels to tours, transfers, and unique experiences. You’ll receive a shared itinerary that you can view, and collaborate on as we shape your trip together. Once you’ve selected your preferences, we’ll discuss payments, due dates and all that fun stuff.
Step 5: Around four weeks out from your departure, I’ll email you your final itinerary along with all the necessary travel documents. If you’d like to schedule a call before you go to review the details or cover any last-minute questions, I’m more than happy to do so – just let me know!

My approach to travel planning is personal, and collaborative. I invest time upfront to get to know your travel style, expectations, and preferences before crafting a fully tailored itinerary that’s easy to access and update along the way.
The planning fee covers the time, research, and expertise required to build a unique itinerary designed just for you.
Planning deposits start from $150 per person, and may vary depending on the length, complexity, or size of the trip. This fee is payable after our introductory call and before our full planning session.

A few important things to note:
– Pricing and availability in travel can change quickly, and the 5 week window is designed to protect you just as much as it protects the planning process – so that the trip we’ve built together is still achievable at the price quoted. The 5 week window begins from the date your itinerary is first sent and is designed to give us enough time to shape your trip together without rushing. If no selections are made within this period, the planning process will lapse and the Travel Planning Deposit will not be redeemable.
If you need a little more time, please reach out before the window closes – extensions can be considered on a case-by-case basis.
– Your included revisions are designed for the fun part – refining your accommodation choices, adding or swapping tours, and fine-tuning experiences until everything feels just right. They don’t cover full restructures such as destination swaps, date overhauls, or group size changes, which may require additional planning time and fees. As always, I’ll be upfront with you if that applies.
– The Travel Planning Deposit is non-refundable and non-transferable should you choose not to proceed with a booking – however, your itinerary remains yours to keep.
– Your Travel Planning Deposit is redeemable off the final payment of your trip when your travel arrangements are booked through me. Where arrangements are partially booked independently – such as Airbnb or direct flights – deposit redemption will be assessed on a case-by-case basis.
– I’m unable to provide support, assistance, or transfers for any arrangements not made through me, and cannot be held responsible for issues that arise with independently booked components.
– If you would like printed travel documents in a TravelManagers wallet, an additional $40 printing and postage fee applies. Otherwise, all documents will be provided digitally via the Trip Plans app.

This form confirms that you have been advised about the importance of travel insurance and do not wish to proceed with a policy through TravelManagers, understanding the risks.
